Connect your Gmail to Regna

Before a practice on Google Workspace can connect its mailbox, its Workspace administrator approves Regna once. Six clicks, about two minutes, and it never has to be done again.

  • Your Workspace admin
  • About two minutes
  • Once per organisation
  • Read and send only

Who does this

Whoever administers your Google Workspace. In most practices that is the owner, in some it is an IT provider. You need a Workspace, an @yourpractice.co.za address managed in Google Admin. If your practice uses a personal @gmail.com address instead, skip to the end of this page.

The approval tells Google that Regna is trusted by your organisation. Regna only ever asks to read and send mail on the mailbox you connect, never to change or delete anything, and you can disconnect at any time, which revokes the access with Google. The details are in the privacy notice.

The client ID you will need

Step 3 asks you to search for Regna by its client ID. Copy it here; a typo is the whole guide failing.

The six steps

  1. Open App Access Control

Security → API Controls → App Access Control

Sign in at admin.google.com with your administrator account, then go to Security → API Controls → App Access Control (that link lands on the right screen).

  2. Click “Configure new app”

    Configured apps

It sits in the “Configured apps” bar, next to “Download list”.

  3. Search for Regna by client ID

    Configure new app

Paste the client ID below into the search box. One result appears — Regna, marked “Web”. Select it and click Continue.

  4. Choose who it applies to

    Scope

On the Scope screen, keep the default — your whole organisation — unless you only want specific staff connecting mailboxes. Click Continue.

  5. Set access to Trusted

    Access to Google Data

On the “Access to Google Data” screen, choose Trusted: “This app can request access to user data in any Google service via OAuth 2.0 scopes”. Click Continue.

  6. Review and finish

    Review

The Review screen shows Regna, your organisation, and “Trusted”. Click Finish. Regna now appears under Configured apps — and you are done.

Then, back in Regna

Whoever runs your inbox goes to Settings → Channels in Regna, chooses Connect Gmail, ticks that the admin step is done, and signs in with the practice mailbox. Google shows its normal consent screen, with no warnings, because your organisation has marked Regna trusted, and mail starts syncing within a minute.

No Google Workspace?

A personal @gmail.com address has no administrator, so this approval does not exist for it. Regna connects those with a Google app password instead. The Connect Gmail screen in Regna offers that route and walks you through creating one. Everything else works the same.
